The short version
- We collect what we need to talk with you, sell you the service and prepare your file.
- If you become a member, we keep copies of the records you send us, notes about your health and service, and the statements and package we prepare with you. That's health information. Only the people working on your file can see it, and we use it only to do your file.
- You send documents by texting us pictures of them. There's nothing to upload and no private link.
- We never sell your information, never use it for ad targeting, and never share it except with the companies that help us run the business.
- We are not covered by HIPAA, but we protect your information carefully and tell you if it's ever exposed.

Health information. We collect it only with your consent (box 8 on the signature page), use it only to deliver the services in your agreement, and never for marketing, ads or anything else.
2. How we use it
- To answer your questions, hold the calls you booked, and send the emails and texts you agreed to.
- To review your records and prepare your strategy, statements, package, exam prep, decision review and any review or appeal package.
- To take payments and pay refunds.
- To check the quality of our work (recorded calls only if you said yes; files are checked by a second person before they go to you).
- To keep the records the law requires.
We don't make automatic decisions about you, and we don't sell or share anything for advertising.
3. Who sees your file
Your case manager, a file assistant who helps with scheduling, organizing your records, typing drafts from your interview and assembling the package (never advice), the person who checks quality, and the owner. All are Vet Claim Lab employees in the United States. Nobody else.
4. Software and AI tools
If you agree to recording, software (including AI tools) may turn it into text and draft notes, your recap or a first draft of your statement from your own words. Software may also sort and search the pages of records you upload. A person reads and approves everything before it's used or sent to you. Software never answers your texts by itself, never writes medical wording and never decides a refund. The providers may process your information only to do that job for us, under confidentiality terms, and may not use it to train their own products. If you say no to recording, nothing from your calls goes to these tools.
5. Calls and texts
- Calls. Before you buy, we call only people who asked us to, at the time booked or 9 a.m. to 6 p.m. Monday to Friday in your time zone, no more than 3 tries a day. After you buy, we call at the times you book. Never robocalls or recorded-voice calls.
- Recording. We ask at the start of every call. If you say no, we don't record.
- Texts. Only if you ticked a text box. Before you buy: about your request and the call you booked. After you buy: in reply to you, about your scheduled calls, deadlines in your file, or your agreement and its service (payment notices, results-refund check-ins, the end of your support period). Never marketing. Texting terms: vetclaimlab.com/texting.
- Stopping. Reply STOP to any text, or tell us any other way, and texts to that number stop within 1 business day; support moves to email. Reply HELP for help. Message and data rates may apply. Message frequency varies.
- Text consent is never shared except with the service providers that send messages for us.
- Do Not Call. We never buy calling lists.
6. Who we share it with
Only service providers that help us run the business, under confidentiality terms and only for that job:

We also share if the law requires it (for example, a court order), and to protect our rights in a payment dispute (only the signing record, payment and delivery dates, never your records). We never share with doctors, lawyers, VSOs, lenders or anyone who'd pay us for it, and never take or pay referral fees. We never send anything to the VA for you.
Ad tracking. Meta's ad pixel runs only on public pages and sends only two events: "signed up" (Lead) and "booked a call" (Schedule). Never anything you type, never on signing, payment, upload or member pages, never anything about your health or claim.
7. Where we keep it, and how we protect it
- In the United States only.
- Records and file documents in encrypted storage with access logs; two-step login on every account; access only for the people in section 3.
- No customer information in personal email or on personal phones or computers.
- If your information is ever exposed, we tell you within the time Florida law requires (within 30 days under section 501.171, Florida Statutes) and do what any other state's law requires.

Your agreement ends when your support period ends, or when any review or appeal package we're still preparing is finished, whichever is later, or earlier if you or we end it. After the times above, we delete it, except anything tied to an open complaint or legal claim, which we keep until it's closed.
9. Your choices
You can ask us, free, at any time, to:
- send you a copy of everything in your file;
- correct something;
- delete it (we will, except what the law makes us keep, which we delete when its time runs out);
- stop texts or emails (reply STOP, use the unsubscribe link, or email us).
Email info@vetclaimlab.com. We reply within 5 business days and finish within 30 days. We'll check it's really you through the email or phone number on file.
10. Children
We work only with adults 18 and older and don't knowingly collect information about children. If records you upload mention your children (for example, for dependents), we use that only for your file.
11. Changes
If we change this policy, we post the new version here with a new date. If a change affects how we use information we already hold, we email you first.
